This Privacy Policy describes how LocalKey Colorado, LLC (“LocalKey,” “we,” “us,” or “our”) collects, uses, stores, discloses, and otherwise processes information in connection with localkeyco.com (the “Website”), our communications, and the property support and owner-representation services we provide.

1. Information We Collect

LocalKey may collect information that you provide directly to us, including your email address, telephone number, mailing address, property address, billing information, property ownership information, service preferences, communications with LocalKey, and information submitted through Website forms.

When you use the Website, certain information may be collected automatically, including IP address, browser type, device type, operating system, referring pages, pages visited, approximate location derived from IP address, timestamps, and Website interactions.

We may use cookies, pixels, analytics technologies, and similar tools to operate the Website, understand Website usage, improve our services, measure marketing effectiveness, and maintain Website security.

3. Payment Information

LocalKey may use third-party payment processors to process payments and recurring Owner Services charges. LocalKey generally does not need to receive or store complete payment-card numbers when payments are processed directly by the payment processor. Payment information submitted through a third-party payment platform is also subject to that provider’s privacy and security practices.

4. How We Use Information

LocalKey may use information to:

  • respond to inquiries;
  • establish and administer client accounts;
  • create and maintain property profiles;
  • provide property checks and other requested services;
  • document property conditions;
  • coordinate owner-authorized vendor access;

  • verify repairs or project progress;
  • provide owner-representation, project-management, asset-management, or portfolio services;
  • schedule services;

5. Property Photographs and Documentation

LocalKey’s services may involve photographing or otherwise documenting properties.

Such materials may contain information regarding the property’s condition, contents, security systems, access arrangements, equipment, occupants, or other potentially sensitive information.

LocalKey will use property photographs and documentation principally to perform services, maintain the property’s record, communicate with the owner, document conditions, and protect the legitimate interests of LocalKey and its clients.

LocalKey will not intentionally use interior property photographs identifying a client’s property for public marketing purposes without appropriate authorization.

For tenant-occupied properties, the owner is responsible for obtaining any notices, permissions, or consents required from tenants or other occupants before LocalKey enters or photographs the property.

LocalKey may disclose information as reasonably necessary to:

  • contractors and vendors authorized by a client;
  • technology and cloud-service providers;
  • payment processors;
  • communications providers;
  • accountants, attorneys, insurers, and professional advisers;
  • analytics and Website-service providers;
  • emergency responders or governmental authorities where reasonably necessary;
  • prospective purchasers, investors, lenders, or successors in connection with a financing, merger, acquisition, reorganization, or sale of the business; and
  • other persons at your direction or with your consent.

LocalKey does not sell personal information for money.

7. Security

LocalKey uses reasonable administrative, technical, and physical safeguards designed to protect information under its control. Because LocalKey may possess property access information, LocalKey treats keys, alarm information, entry codes, and equivalent access credentials as restricted information and limits access to personnel with a business need to know.

No electronic storage or transmission system can be guaranteed to be completely secure.

8. Data Retention

LocalKey retains information for as long as reasonably necessary for the purposes for which it was collected, to provide services, maintain property records, satisfy contractual obligations, comply with applicable law, resolve disputes, enforce agreements, and protect legitimate business interests. Property records may be retained after termination where reasonably necessary to document services previously performed.

9. Your Privacy Choices and Rights

Depending upon applicable law and your jurisdiction, you may have rights concerning your personal information, including rights to request access, correction, deletion, or a portable copy of certain information and to opt out of certain processing. Requests may be submitted to hello@localkeyco.com. LocalKey will respond as required by applicable law.
